Purpose of Policy
Insofar as the university recognizes the value of the World Wide Web (WWW) as an effective information resource for all university constituents, including but not limited to current
and prospective students, faculty, staff, alumni, and the general public for communication,
education, research, and scholarship, it is further recognized that documents contained on
it are a reflection on the creator(s) and the institution as a whole. Therefore, the content
and appearance of documents and other subject matter contained on all web pages must
comply with the policies and guidelines within this document.
Eligibility
Officially recognized University departments, offices, programs and groups may have an
online presence. Information that is determined to be of relevance only to the campus
population and not the general public will be located on the campus intranet rather than
the public web site.
Each web presence must have an official author/owner who is responsible and accountable
for not only the development and maintenance but also the content of the web presence.
Each owner must register his/her web presence by signing the Account Creation form available through ITS.
Approval and Oversight
The web site and all its associated technical assets are overseen by ITS. Select issues
regarding appropriateness of appearance and content will be approved/disapproved by
the Web Site Advisory Committee, made up of members of ITS, Public Relations, and the Special Assistant to the Chancellor.
General Development Guidelines
Unless special permission is granted by the Web Site Advisory Committee, all web pages
must adhere to the current established University site template and accompanying design
guidelines.
Only information of value to the general public should be posted to publicly accessible
sites on the World Wide Web. Information requiring additional protection, such as FOR
OFFICIAL USE ONLY, or information not for public release, should be placed on the intranet.
Heads of department shall establish a process to identify information appropriate for posting
to web sites and ensure it is consistently applied. Department heads (or registered
web page owners) are responsible for ensuring that the information on their web pages is
current, accurate and appropriate in so far as it communicates and supports the mission
of the University.
In addition:
- When creating University-related web pages, reasonable efforts must be made to make the sites functional
and usable by persons with disabilities. At a minimum, an “alt” attribute is required for every image used. ITS
can provide additional guidance on web site accessibility, if necessary.
- All web pages must contain a date of last revision and clearly identify or be linked to a contact page that identifies
the department, school, or individual responsible for the web site, as well as identify the name, e-mail address, and
postal address of the person to which questions and concerns on the web site should be directed.
- Non-copyrighted material, text, images, and video clips may be used only if they relate to the department’s mission.
- No copyrighted information may be posted without the permission of the copyrighted owner.
Additional Considerations
Web page developers/authors/owners should be aware that, insofar as the university web presence is a tool for
communicating with both internal and external constituents, each web page is a University asset; the registered
owner/responsible party should therefore be aware of all other University policies and guidelines that relate to University assets, including but not limited to:
Issues not addressed specifically in this policy will be considered by ITS and the Web Site Advisory Committee on
an ad hoc basis.
